A recap written in freight terms
Three to five sentences after every recorded call: the outcome, rates, lanes, equipment, dates, volumes, and how the shipper sounded. Not a generic meeting summary.

How a call flows through Optimus

Dial from the shipper record
Pick a stored number on the contact and choose Call with Vonage. Vonage rings the rep's configured desk phone, desktop app, or mobile app first, then connects the shipper when they answer.

Talk on Vonage
Audio and call controls stay on the Vonage device. Caller ID, routing, and recording policy are whatever your Vonage admin already set.

The call syncs
Call history and the recording are matched to the contact by rep and phone number, then logged as CRM activity.

The transcript, freight recap, and follow-up tasks attach to the call. Reps and managers see the same record.

Connecting Vonage
Requirements
- A Vonage Business Communications (VBC) account with Vonage Integration Platform access and the Provisioning, Reports, and Call Recording API suites enabled.
- A VBC administrator to authorize the account-level connection, and the VBC account ID from your Vonage admin portal.
- An Optimus account with an organization you administer, and an Optimus member whose email matches each rep's VBC email.
- A configured VBC device for each rep who will call from Optimus: desk phone, desktop app, or mobile app.
- VBC authorization does not support single sign-on, so the administrator and each rep may need their direct Vonage credentials to approve access.
- Call recording enabled in VBC if you want recordings, transcripts, and recaps. Without it, Optimus still logs call history.
Adding the integration

Open Integrations
In Optimus, open Account → Integrations and choose Vonage Business Communications. Review the prerequisites, data access, and recording notice.

Enter your VBC account ID and authorize
Enter the account ID from your Vonage admin portal and click Connect. A VBC administrator authorizes the account-level Optimus application. Optimus verifies that the account ID and status match before activating the connection.

Test the connection and sync users
Click Test connection, then Sync now. Optimus maps active VBC users to organization members by email and lists unmatched users so you can fix email mismatches and sync again.

Each rep connects their Vonage identity
Each mapped rep opens Account → Communications, chooses Connect Vonage, and authorizes their own VBC user. Vonage scopes call control to the individual user, so an administrator cannot do this step on a rep's behalf.

Select Vonage and place a test call
The rep selects Vonage as their phone provider (confirming the switch if another provider is active), then calls a contact. Their configured Vonage device rings first; when they answer, Vonage connects the shipper. Confirm the call, recording, and recap appear on the contact before rolling out to the team.
Using the integration
- Place calls from a contact: choose one of the contact's stored numbers and select Call with Vonage. Optimus shows ringing, connected, completed, or failed status; audio and controls stay on the Vonage device.
- Call history & recordings (inbound and outbound) sync into Optimus and are logged as CRM activity on the matching contact and account, with the recording, transcript, and recap attached where recording is enabled.
- Follow-up tasks are created from commitments made on the call, so reps act on them without manual note-taking.
- Your Vonage setup doesn't change. Optimus uses each rep's existing VBC identity, caller ID, and configured device. It does not alter routing, numbers, or recording policy.
- No silent fallback. If a rep's Vonage authorization lapses, Optimus asks them to reconnect from Account → Communications; it never switches them to another phone provider on its own.
Data & privacy
Vonage credentials, call metadata, recordings, transcripts, and recaps are isolated to your organization and visible only to users in that organization. OAuth tokens are encrypted at rest and are never returned by the Optimus API. Optimus does not modify your VBC routing, devices, numbers, or recording policy. See our Privacy Policy for details.
Removing the integration
- Each rep can disconnect their own Vonage identity from Account → Communications. Optimus revokes that authorization and clears the rep's stored Vonage tokens once Vonage confirms the revocation.
- An administrator opens Account → Integrations → Vonage Business Communications and clicks Disconnect. Optimus stops syncing, marks user mappings inactive, and removes the stored account credentials for your organization.
- To fully revoke access, remove the Optimus application from your Vonage account's authorized applications.

Frequently asked questions
Does Optimus record my Vonage calls?
No. Vonage records calls under your own VBC recording policy. Optimus syncs the recordings Vonage already made, matched to the exact call, then produces the transcript, recap, and follow-up tasks. If recording is off in Vonage, Optimus still logs call history on the contact.
Why does each rep have to authorize Vonage separately?
Vonage scopes call control to the authenticated user, not the account. The administrator's connection covers user mapping, call history, and recordings; each rep's own authorization is what lets Optimus ring their device and start a call on their behalf.
What does a rep see after a call?
The call is logged on the contact and account timeline with the recording and transcript, a three-to-five-sentence recap covering outcome, rates, lanes, equipment, dates, volumes, and sentiment, and any follow-up tasks with due dates that came out of the conversation.
What do managers get?
The same recording, transcript, and recap on every contact timeline, plus a daily or weekly team digest: a per-rep leaderboard of calls, tasks, prospects engaged, and open pipeline, with needs-attention flags for quiet reps, overdue follow-ups, and at-risk deals.
Do I need a separate conversation-intelligence tool?
No. Recording sync, transcription, recaps, follow-up tasks, and manager visibility run inside Optimus on the Vonage system you already pay for. There is no second platform to buy, integrate, or log in to.
Does Optimus change my Vonage devices, numbers, or routing?
No. Optimus starts calls through your reps' existing VBC identities and configured devices. Routing, numbers, caller ID, and recording policy remain under your Vonage administrator's control.
